    Position Information
    Under the direction of the Museum Supervisor, is responsible for developing, planning, marketing and delivering Fort Nisqually Living History Museum's special events and for recruiting, training and managing museum volunteers.

    In the performance of their respective tasks and duties all employees are expected to:

    • Perform quality work within deadlines with or without direct supervision.
    • Interact professionally with other employees, customers and suppliers.
    • Work effectively as a team contributor on all assignments.
    • Work independently while understanding the necessity for communicating and coordinating work efforts with other employees and organizations.
    • Observe applicable safety requirements, use safety equipment provided, implement appropriate safety practices at all times and report immediately any unsafe working conditions or hazards.

    Essential Duties

    SPECIAL EVENTS:

    • Maintain and strengthen the event program's commitment to the museum's mission of engaging a diverse regional audience with Puget Sound’s first globally connected settlement through historic preservation, experiential learning, and interpretation.
    • Annually review existing special events performance and preserve the elements that the volunteers and the public respond to, while enhancing activities that provide new opportunities for interpretation and public engagement.  
    • Train and provide work direction to staff, volunteers, and interns for events; coordinate training on proper use of equipment or artifacts used during events; coordinate volunteer training on proper procedures during events; oversee and review work to assure the proper delivery of event support.
    • Assist in planning, promoting, and implementing the museum's annual special events in accordance with adopted budget and work plan for both general fund and Fort Nisqually Foundation events, where applicable.  Explore new special events based on strategies recommended in the Strategic Master Plan, Mission Led Comp Plan, Fort Nisqually Business Plan and current museum Capital Development and Program Plan.
    • Plan for special events including setting the calendar (by end of September for the next calendar year); listing events/booking facilities in registration system; providing event information to volunteers, recruiting and assigning volunteers (30-150, depending on event), establishing, designing, and printing event programs, acquiring event supplies as needed, reviewing museum site for needed clean-up/preparations, contracting with vendors as needed for event support, advertising for and recruiting artists, organizing the schedule, completing agreements with artists, maintaining contact with the artists/demonstrators, preparing site for volunteers as needed, and arranging for payment to artists/contractors and coordinating with museum staff and MPT as needed for event support.
    • Promote and market special events including writing press releases and submitting them to MPT for distribution; creating and managing event descriptions on museum website; submitting event descriptions to on-line calendars; creating and posting event news to social media sites (e.g. Twitter, Facebook, Instagram); email blast to database on week of event; creating annual event poster and distributing; creating seasonal event flyer for distribution at museum; creating event posters for posting at museum; providing event information to MPT for seasonal guides.
    • Provide special event planning, implementation and oversight including coordinating site preparation with staff, volunteers, MPT, and vendors, as needed; providing day-of instructions and supplies to volunteers; supervising event activities and schedule support from staff.

    ADMINISTRATIVE:

    • Assist museum supervisor in the development of the annual budget for the program of responsibility; assist in monitoring the museum's revenues and expenses in compliance with the approved budget as it relates to job function.
    • Write, solicit articles, edit, and distribute monthly email newsletters: Fort Notes for volunteers, Fort News for museum guests, and Nisqually Journal for museum members. These include information upcoming events, as well as information about other volunteer activities, collections highlights, museum store activities, FNF news, and other museum related information.
    • Related public relations duties include building media relationships, social media,  TV guest appearances, developing video for on-going promotions, public presentations when requested, designing and managing a-boards (which advertise the museum, its operating hours, summer camps, and events).
    • Manage all museum marketing for special events, education programs, exhibits, retail, workshops, camps, and social media, i.e. Facebook, Instagram, TikTok, and YouTube. Marketing includes updating regional event calendars and managing the museum’s google business profile. Appropriately reply to or otherwise manage general museum inquires to the Fort Nisqually email address.
    • Manage online ticketing software for events and general admission with support from customer service staff. (While customer service will manage refunds, ticket exchange requests, the events person will likely build the sites.)
    • Train and provide work direction to Events & Volunteer Assistant for events; coordinate training on proper use of equipment or artifacts; coordinate training on proper procedures during events; oversee and review work to assure the proper delivery of event support by Events & Volunteer Assistant.

    VOLUNTEER COORDINATION:

    • Recruit volunteers interested in supporting the museum’s mission as stated above. Provide volunteer orientation to better equip new volunteers for the expectations of their volunteerism. During the orientation, discuss future training opportunities and overall scope of work for the museum during the current calendar year. Train and provide work direction to volunteers and interns for events; coordinate volunteer training on proper use of equipment or artifacts; coordinate volunteer training on proper procedures during events; oversee and review work to assure the proper delivery of event support by volunteers. Support and grow volunteer led guilds with materials, communications, and research support. Manage volunteer tracking software, Better Impact, and make annual report of volunteer support.
    • Maintain regular, reliable, and punctual attendance.

    OTHER DUTIES AS REQUIRED

    Minimum Qualifications

    EDUCATION & EXPERIENCE:
    Bachelor's degree in event management, museum studies, history or related field and a minimum of two years of experience in event delivery and/or volunteer coordination required.  Four years of related experience may substitute for college degree.  

    LICENSE & OTHER REQUIREMENTS:
    Valid Washington driver's license with acceptable driving record required.
    Obtain a valid First Aid and CPR Card within the probationary period.
    Must be able to work weekends and evenings as required.
